UAN - Universal Account Number

Universal Account Number, abbreviated as UAN, is a dynamic 12-digit number assigned to every Employee Provident Fund (EPF) member for efficient management of his/her EPF account. The UAN of an employee connects all his/her PF (Provident Fund) accounts across companies and functions independent of employers. Issued by the Ministry of Labour and Employment under the directives of Government of India, it unifies all the PF accounts that an employee has been allotted every time he/she has joined a new organisation. This enables an employer to authenticate its employee through the UAN when the necessary documents have been verified.

Multiple PF accounts often lead to complications arising from faulty withdrawals and transfers of PF amount. Hence, the provision for UAN was introduced to address such issues, streamlining the management of provident fund accounts. Connecting all PF accounts of an employee through UAN ensures seamless and hassle-free transfers and withdrawals.

The contribution of the employer towards an employee’s PF account can be tracked by the employee every month by using his/her unique UAN after registering on the EPF Member Portal. This online facility prevents any chances of the employer holding back or deducting from the employee’s PF account. Features of Universal Account Number (UAN)

UAN aims at maintaining a single database of all PF accounts of an employee and preventing the EFPO from being dependent on organisations for verification of their employees. The UAN facility empowers the EPFO to access the personal details of every employee, like KYC details and bank account information during the verification process. Hence, when an employee switches jobs, the new PF account can be connected to all the earlier PF accounts that he/she has had held before on submission of his/her UAN. Benefits of UAN for Employees

The Provident Fund refers to an employee’s contribution that is automatically deducted from his/her salary every month and deposited in his/her PF account. The same amount of money is also contributed to the accounts of employees working in private organisations every month. When an employee joins a new company, he/she is allotted a new PF account. The amount accumulated in his/her earlier PF account can be withdrawn or transferred to the new PF account. Acting as a monthly personal saving, the employee is eligible for a lump sum at the time of his/her retirement.

While changing jobs, an employee can either withdraw the EPF corpus fund or transfer it, which proves to be a time-consuming and hassled process. As a result, employees would often opt for opening a separate PF account at their new workplaces, implying they would have had to manage several PF accounts. The introduction of UAN addressed these problems, thus, simplifying the processes.

Other than this, the major benefits of UAN are:

Employee Pension Scheme: PF can be classified into two categories – one, the Employee Provident Fund (EPF), and secondly, the Employee Pension Scheme (EPS), enforced since 1995, which makes the employee entitled for pension as well.

Personal financial objectives: The flexibility to withdraw 50% of the EPF allows employees to meet financial goals like children’s higher education, education for self, education for siblings, or marriage, etc.

EPF for unforeseen emergencies: Employees can withdraw from their EPF corpus to meet their financial needs for personal emergencies or special events. However, there is a specific limit that can be availed, along with other terms and conditions.

Medical Emergency: Employees can also withdraw from their EPF corpus for funding unpredicted medical emergencies and critical illnesses like surgeries and chemotherapy.

Insurance Benefits: Employees of companies that do not offer the group insurance scheme, insurance benefits are extended to them through the Employee Deposit Linked Insurance or EDLI scheme.

Advantage of UAN to employees

The advantages that employees who have linked their PF accounts with UAN can avail are:

Employer cannot withdraw or withhold reimbursement of PF amount

Earlier, your PF withdrawal application was forwarded to your previous employer for signature and then sent to the EPFO. In contrast to this, with the introduction of UAN, the dependence on the employer during withdrawal from PF account has been reduced. The accumulated money is transferred automatically from the previous PF account to the new one after the completion of the KYC verification.

Seamless, hassle-free method for transferring funds

Before the concept of UAN was introduced, the manual transfer of funds in the old PF account to the new one was a time-consuming and hassled process. Digital transfer was even more tedious. However, with UAN, all that an employer needs to do for successful transfer of PF funds is to submit the UAN and KYC details to the new employer. After these details are verified by the new employer, the PF will be transferred from the previous to the new PF account.

Added benefits for the Employee Pension Scheme

Since the manual method of transferring funds from the old to the new PF account was more time-consuming before the implementation of UAN, employees preferred to withdraw it and then transfer it to their new PF account after a job change. However, this also implied that fund in the Employee pension Scheme also had to be withdrawn, which adversely affected the lump sum pension that he/she would receive post-retirement. After the initiation of UAN, both the EPF and EPS accounts are transferred automatically, creating the opportunity for a higher lump sum amount after retirement.

With UAN, you can avail the benefit of receiving SMS notifications for every activity in your PF account – monthly transfer from your employer, withdrawal, etc. on registering on the EPF website. What can I do with UAN Number?

Your UAN number allows you to do a number of things that will assist you to manage your PF account better. Some of these things are mentioned below-

  • The UAN number is constant throughout your career. All you have to do is provide it to your new employer, if you decide to shift jobs, to get your old PF accounts linked together with UAN.

  • It is possible to download the UAN card by entering your UAN number on the EPFO web portal.

  • The scanned copies of KYC documents of the employee can be uploaded online and can be verified by the employer.

  • Moreover, it is easy to check the transfer claims on EPFO web portal by mentioning your UAN.

  • All PF account holders can check their balance immediately, by downloading the EPF passbook provided online, by simply using their UAN number

  • You can upload all of your previous PF member IDs online using the UAN.

  • With UAN, transferring funds from previous PF account to new account has been made completely hassle-free. Once the KYC verification is done, the PF amount will be automatically given to the new employer.

How to Get Universal Account Number (UAN)

Here are the few simple steps that need to be followed for registering for UAN:

  • EPFO or Employee Provident Fund Office assigns a unique PF number to all employers.

  • Employers have to include the UAN for their employees who contribute to PF along with the new member ID.

  • Employees are required to submit KYC documents - proof of identity and address, and bank account details like account number and IFSC code. The accepted documents for Proof of Identity (PoI) are Aadhaar, PAN card or Passport, while for Proof of Address (PoA), the accepted documents are ration card, voter ID, driving license or passport.

  • After these documents have been submitted by the employee, the concerned employer will have to verify the KYC documents.

  • Post successful verification of the KYC documents, the employees have to register themselves on the UAN official website with the required information like contact number, UAN number as informed by the employer and member ID provided by the employer. The UAN acts as the user ID for the employee.

  • Next, an OTP or One Time Password will be generated and sent to the registered mobile number of the employee.

  • After entering the OTP accurately, personal details like the date of birth, name of father or husband, etc. will have to be submitted.

  • Then the employee will be asked to submit a new password to complete the registration process and view his/her updated EPF passbook.

Online UAN Allotment Process

Employees can have their Universal Account Number assigned to them in two ways:

Check UAN allotment on EPF official website

UAN was assigned to every employee with a PF account after converting the current PF account numbers of those who have contributed in EPFO through the electronic challan-cum-return during the period of January 2014 to June 2014. The Universal Account Number and details were informed to the employers for them to download and notify their employees of their company. Employees can visit the EPFO official website to confirm whether they have been assigned a UAN number.

EPFO Mobile Application

EPFO has a mobile application to enable employees to view and monitor withdrawals and transfers to and from their PF accounts by entering their Universal Account Number. The UAN has to be activated through the EPFO website or mobile app, launched in 2015, to get started. This facility offers employees the convenience of accessing the details about their PF accounts on their fingertips across geographical locations.

UAN Registration Process for Employees

Employees have to follow this hassle-free process of registering for their UAN:

  • After being informed about their UAN by their employer, you have to visit the EPFO official website to activate their UAN.

  • Choose the ‘Activate UAN based registration’ option, after submitting the personal details like UAN, member ID and contact number.

  • Next, a PIN will be generated and sent to your registered contact number.

  • After entering the PIN, the username, i.e. your UAN has to be entered. A password can be chosen as per your choice. This will enable you to login and use the facilities available on the UAN portal.

How to Activate Your UAN

After your employer informs you about your Universal Account Number, you can follow this process to activate it through the EPFO official website:

  • Visit the EPFO official website and select the ‘Activate your UAN’ option.

  • It will redirect you to the UAN activation page where you have to mention your personal details like Universal Account Number, member ID and contact number.

  • Select the ‘Get Pin’ option to generate an activation PIN that will be sent on your registered contact number.

  • Enter the PIN number and then click on the ‘Submit’.

  • Enter your chosen UAN Login password to complete the activation process

  • Download the UAN passbook and card.

How to Transfer PF Accounts Online with UAN Through EPFO Website

Before the advent of the Universal Account Number, employees had to withdraw the accumulated money in their existing PF account to transfer it to their new one after a job change through Form 13. Being a manual process, it was time-consuming and hassled. The online transfer facility was even more tedious. The process would be the same every time an employee switches jobs. The introduction of UAN has centralised the PF accounts held by an employee, bringing all the accounts under a unified platform. Digitalising this process with UAN has benefitted employees in multiple ways like seamless withdrawal and transfer, easy access and tracking of transactions on the PF account, online transfer of the previous PF account to the new one, etc.

Here are the documents you need to transfer your PF accounts online through the EPFO portal:

  • The new and previous PF account number and member IDs also have to be registered with the EPFO. If these details are not registered in the EPFO database, you have to get them registered first to proceed with the online transfer.

Let’s look at how PF accounts can be transferred online:

  • Log on to the OTCP or Online Transfer Claim Portal website using the required personal details

  • Click on the ‘Request for Claim’ option under the ‘Claims’ tab on the bar menu. Enter the essential details in Part A like name, email ID, bank account number and IFSC code

  • Complete filling up the details in Part B, which are related to your earlier PF account, like the name of your previous organisation, its address, earlier PF account. Your name will appear on the screen if these details are present in the EPFO database.

  • If the information is available in the EPFO database, they will get auto-filled and you will not have any scope of changing them. If the details are unavailable, you will have to manually fill them up

  • EPFO will verify your date of birth filled up by you in the form based on the information available in their database. On entering inaccurate date of birth thrice, you will be blocked

  • Under such circumstances, the only option left for you is to transfer the PF account offline

  • Part C of the form requires you to enter details related to your existing employer. These details will also be evaluated against the information present in the EPFO database

  • You can either choose your existing or previous employer for getting your claim attested

  • Check the application by selecting the ‘Preview’ option, so that you can make the necessary changes, if required

  • Select the ‘Get PIN’ option and agree to the declaration statements

  • A PIN will be generated and sent to your registered mobile number, which you have to submit

1. Physical Application Procedure for PF Withdrawal

  • Download the Composite Claim form. There are two types of Composite Claim forms. One for those who have Aadhaar and the other for those who have not registered with Aadhaar.
  • If you have Aadhaar, you can fill up the Composite Claim form and submit it at the jurisdictional EPFO office. However, if you are not an Aadhaar cardholder, you have to complete filling up the Composite Claim form and get it attested by your employer before submitting it at the jurisdictional EPFO office.
  • For making a partial withdrawal, the mandatory submission of various documents to support your claims have been replaced by the system of self-certification, as introduced by EPFO.

2. Online Application Procedure for PF Withdrawal

You have to meet the following criteria to avail the online application procedure for withdrawing from PF:

  • To be able to benefit from this quick, hassle-free and seamless process, you have to ensure that your UAN is active and the contact number that you have registered for UAN is also active
  • Ensure that your UAN is connected with your KYC, i.e., Aadhaar, PAN and bank details (bank account and IFSC code) Once you have ensured the following, you need an attestation from your previous employer to withdraw from your PF.

How to link Aadhaar with UAN online?

The UAN number can be linked to Aadhaar since 2017 to encourage paperless withdrawal and transfer of the PF. Here are the simple steps to be followed for linked UAN number to Aadhaar:

  • Visit the EPFO official website and select the ‘Online Services’ button under the tab named ‘eKYC Portal’
  • Next, select the 'Link UAN Aadhaar'

  • Mention your UAN to proceed, and to generate an OTP or One-Time Password that you will receive on your registered mobile number

  • Enter completing the OTP verification process, you will have to mention your Aadhaar Number to generate another OTP that will be sent to your email ID or contact number that you have registered during your Aadhaar registration procedure

  • After verifying the OTP, your UAN will be successfully linked to your Aadhaar

What happens to UAN in case of job change?

After a job change, the UAN that had been allotted in the previous organisation continues to be in use in the new one. Before the introduction of UAN, employees would have to submit two forms after switching jobs. Form 11 served the purpose of declaring that the employee already has an existing Employees’ Provident Fund (EPF), while Form 13 is meant for transferring the PF balance from the earlier account to then new one. However, currently, Form 11 serves the dual purpose, provided an employee has an active UAN and his/her Aadhaar has been verified in the EPF database. Otherwise, employees have to submit both the forms.

What is an UAN card and what information does it contain?

The UAN card is issued by the EPFO and comprises of the personal details of the employee. It is necessary for you to submit your UAN card/number to a new employer, so that your new EPF account can be linked to it. EPFO offers employees the convenience of downloading their UAN card from the e-Sewa website.

The UAN card comprises of the employee’s UAN number, his/her name, father/husband’s name, KYC, QR code and date stamp.

How do I transfer the old PF accounts and connect with my UAN?

Though PF balance can be automatically transferred now, you can manually transfer it through the following steps:

  • Log on to the OTCP or Online Transfer Claim Portal website using the required personal details

  • Choose a password of your choice and submit it to complete the activation process

What do I do if I have been allotted two UANs? How do I get a number validated?

There have been certain instances in the recent times when an employee has been allotted two UANs when he/she is expected to be assigned only one UAN throughout his/her career. Under such circumstances, you have to get the earlier UAN deactivated. The deactivation of the previous UAN can be done in either of the following ways:

Option 1

  • Inform your employer or EPFO about the issue.

  • You can email EFPO at uanepf@epfindia.gov.in briefing them about the issue.

  • EPFO will verify the case.

  • The previous UAN will be deactivated while the current UAN will remain active.

  • Next, you can submit a claim to replace the deactivated UAN in the EPFO database with the recent one.

Since the pace of resolution was slow for this method, the EPFO decided to introduce a new method, which has been discussed below:

Option 2

  • Employees will have to apply for the transfer of the previous EPF to the new one.

  • When money from two previous EPF accounts of an employee with different UANs has to be transferred, the system immediately identifies both the accounts.

  • Previously allocated UANs are deactivated by EPFO and the earlier member ID is linked to the existing UAN.

  • A mobile message is sent to the employee to notify him/her about the same.

  • If the employee is yet to activate the new UAN, he/she is requested to complete the process, so that the new UAN can be updated in the EPFO database.

Can we have 2 UAN?

Technically, an employee can only have one UAN throughout his career. However, there are two situations in which an employee can have two UANs allotted to him/her:

  • When you join a new company, you have to notify your new employer about your UAN, so that your new EPF account can be linked to your UAN. However, if you do not furnish the details regarding your new UAN, your new employer can allot a new UAN while opening a new EPF account for you, leading to duplication of your UAN.

  • During a job switch, your employer has to inform you about your ‘date of exit’ in the Electronic Challan cum Return (ECR). If your previous employer does not provide it within time and you join a new organisation in the meanwhile, your new employer has to assign you another UAN while opening a new EPF account for you. However, this duplication prevents you from transferring the PF balance from your previous EPF account to the new one, unless you have blocked and deactivated the previous UAN.

How can I get my UAN password?

While UAN that your employer has notified you about serves as the username, you can select a password of your choice that will be used for all future logins.

How can I know my UAN number from mobile number?

Follow these steps to receive your UAN on your mobile number:

  • Visit EPFO official website

  • Select the ‘Know your UAN status’ option

  • Enter your personal details like member ID, name, Aadhaar, PAN, date of birth, email ID and contact number

On entering the OPT accurately, you will receive a mobile message saying ‘Your UAN and UAN Status is sent to your registered mobile number’.

How can I transfer my PF online through UAN?

For transferring your PF online, here is the process you need to follow:

  • Visit the EPFO website

  • Create your login ID.

  • You will then be redirected to another page where you have to feed your UAN, contact number and information about your existing employer like address, account number, establishment number, etc.

  • Ensure that you can avail a transfer through the account on the EPFO site. You can do this by entering information regarding your existing employer like state, name of the establishment, establishment number, etc. from the options available in the from a dropdown menu.

  • Click on ‘Check Eligibility’ to confirm that the details of the current employer exist in the database.

  • Once you get a confirmation that you are eligible for a transfer through the account, you can go ahead and register on the EPFO website.

  • Submit a valid photo ID like Aadhaar, PAN card or driving license. A PIN will be generated and sent to your registered email ID as a part of the verification process.

  • Enter the PIN accurately to generate a confirmation message.

  • You will then be redirected to the EPFO Member Claims Portal. Enter the document ID and registered mobile number to login successfully.

  • Select the ‘Request for transfer of account’ option.

  • You will then be eligible for accessing and filling up the PF transfer form that is divided into 3 sections:

    • In the first section or Section A, fill in your personal information like your name, email ID, IFSC code and salary account number.

    • In the second section or Section B, fill in details of your old PF account.

    • In the third section or Section C, fill in the details of your existing PF account.

  • You can get your claim attested by your previous or existing employer, as per your preference.

  • After you have completed filling up the form, you can select the ‘Preview’ option to check whether you have filled in the form correctly. If not, you have the option of editing the details mentioned by you.

  • After you have ensured the accuracy of all the details in the form, enter the captcha and click on the ‘I Agree’ option to generate a PIN that will be sent to your registered contact number.

  • Enter the PIN to initiate the claim transfer process.

How can I change my date of birth in UAN?

If you want to change your date of birth in the UAN, you can do so through the following steps:

  • Go to the EPFO official website and login to the account with UAN (which is your username) and password.

  • Click on the ‘Manage’ option and then the ‘Modify Basic Details’ options.

  • Enter the necessary information that you would like to change - Aadhaar number, name, date of birth and gender as you have registered with Aadhaar. In your case, it is the date of birth.

  • Select the ‘Update details’ option.

  • You will then be redirected to a page where you can check the details mentioned by you. Check the accuracy of the details.

  • You also have the option of deleting the request, but you can do so only before your employer has approved your request. However, if your UAN has already been verified by Aadhaar, you cannot change the details any further.

  • Your employer will then login to the Employer Interface of Unified Portal and then click on the ‘Member’ option and then the ‘Details Change Request’ option to check the request for change.

  • After the request has been approved by your employer, he/she will be able to view the latest request status.

  • The request will then appear in the form of a task in the login of the Dealing Hand at the EPFO office.

  • The Dealing Hand can login and access the request for change by selecting the ‘Member’ option and then the ‘Details Change Request’ option.

  • The Dealing Hand can either approve or reject the change request by selecting either the ‘Recommended for Approval’ tab or the ‘Recommended for Rejection’, along with remarks.

  • After the Dealing Hand has approved the request for change of your date of birth and also submitted his/her recommendations, it is then passed to the Section Supervisor for review.

  • The Section Supervisor can approve the change request and then mention his/her recommendations.

  • The APFC or RPFC can then take the final decision on approval or rejection of your request for change of date of birth.

You can get updates on your PF account balance on the contact number that you have registered with EPFO. All you need to do is type EPFOHO UAN ENG (wherein, ENG denotes the first three alphabets of your preferred language, English) and send an SMS from your registered mobile number to 7738299899. If your preferred language is Marathi, you have to type EPFOHO UAN MAR and send the message to the abovementioned number. Ensure that your UAN is connected to your Aadhaar, PAN or bank account. If not, you can request your employer to do it on your behalf.

Missed call:

You can give a missed call to 011-22901406 from your registered mobile number to receive updates on your PF account balance. However, to get these updates, your UAN number has to be linked to your Aadhaar and PAN.

Mobile App:

To view your PF balance, you can download the M-Sewa Mobile App from Google Play Store, click on the ‘Member' option and then on the 'Balance/Passbook’ option. Next, you have to fill in the details of your UAN and registered mobile number to avail this facility.
